As the Bilingual Executive and Personal Assistant, you will provide full administrative support to a range of financial staff within a specific department, ensuring the smooth running of the Paris office in tandem with other assistants and the Office Management team. In this role, you will manage both short and long – term tasks, requiring flexibility to work beyond standard hours.

In this role, your tasks will include the following:

  • Administration: You will be responsible for the management of a complex and dynamic calendar, coordinating scheduling, rescheduling, and confirmation of appointments while adapting to last-minute changes and multiple time zones. You will organize a variety of meetings, events, and conferences, both internal and external, while carefully monitoring budget. You will also prepare documents using Microsoft Office, maintain company databases and CRM systems, and handle expenses.
  • Travel coordination: You will handle all travel logistics efficiently, working closely with the company’s travel provider to book flights, ground transportation, and accommodation. You will also prepare comprehensive itineraries, manage travel documents and monitor financial transactions, including currency conversions.
  • Office Management: You will maintain an organized and efficient workspace, managing the supply and upkeep of office resources. You will provide general support across the office and streamline daily operations, covering for other assistants and reception when necessary. You will assist with health and safety procedures, ensuring a safe and presentable work environment (First Aid training provided).
  • Communication: You will handle communication internally and externally, acting as a smooth liaison between management, staff, and clients. You will direct calls, take accurate messages, and respond promptly and appropriately to client requests. You will also coordinate conference calls across time zones, ensuring all details are precise.

Your profile:

  • You are fluent in both French and English, with excellent written and verbal communication skills to enable seamless interaction in both languages. Additional European languages are a plus.
  • You are sociable and outgoing, able to cooperate with all members of the team and external stakeholders.
  • You have at least 8 years of experience as a personal or executive assistant, preferably within investment banking or finance. You hold a degree or equivalent graduate-level education.
  • Highly organized and detail-oriented, you can prioritize your workload effectively while working under pressure.
  • You demonstrate resilience and the ability to work with demanding individuals in a high-pressure environment.
  • You are proficient in Microsoft Office, particularly PowerPoint and Excel.
  • You are comfortable keeping confidentiality while interacting with all levels of staff.
  • With a strong sense of initiative, you continuously seek to streamline activity in a proactive, independent manner.

Additional Information:

Salary: €60-65K per year + bonus

Remote Work: One day per week, on Fridays

Location: Paris 16ème
